Gym Club Solutions is committed to providing a safe, inclusive, and supportive environment for all participants, staff, and volunteers. The Code of Conduct for Staff and Volunteers outlines the expected behaviours, principles, and values that guide our actions within the organisation.

  1. Scope

This Code of Conduct applies to all staff and volunteers, including coaches, instructors, administrators, and support personnel, who are involved in any capacity with Gym Club Solutions.

  1. Key Principles

All staff and volunteers are expected to adhere to the following key principles:

  1. Fairness: Treat all individuals equally, with impartiality and without discrimination.
  2.  Respect: Show consideration, dignity, and empathy towards others, regardless of their background, abilities, or beliefs.
  3.  Professionalism: Conduct oneself in a professional and responsible manner at all times.
  4.  Integrity: Act with honesty, accountability, and transparency in all dealings with Gym Club Solutions and its stakeholders.
  1. Specific Behavioral Expectations

Staff and volunteers must:

  1.  Abide by all applicable laws, regulations, and organisational policies.
  2.  Demonstrate a commitment to the health, safety, and well-being of all participants, staff, and volunteers.
  3.  Encourage and support the development of skills, knowledge, and personal growth in others.
  4.  Communicate openly, honestly, and respectfully with others, including colleagues, participants, and stakeholders.
  5.  Maintain appropriate boundaries and avoid engaging in personal relationships with participants that could compromise professional judgement or create conflicts of interest.
  6.  Refrain from any form of harassment, discrimination, or bullying, whether physical, verbal, or emotional.
  7.  Report any concerns or incidents of misconduct, abuse, or neglect to the appropriate person or authority, in line with Gym Club Solutions’ reporting procedures.
  8.  Use social media and other communication platforms responsibly, respecting the privacy and confidentiality of others, and upholding the reputation of Gym Club Solutions.
  9.  Protect the assets and resources of Gym Club Solutions, including its facilities, equipment, and intellectual property, from theft, damage, or misuse.
  10.  Participate in ongoing professional development and training to maintain and enhance their skills and qualifications.
  1. Consequences for Violating the Code of Conduct

Violations of the Code of Conduct may result in disciplinary action, up to and including termination of employment or volunteer status. The severity of the disciplinary action will depend on the nature and circumstances of the violation, as well as any previous violations or misconduct.

  1. Procedure for Reporting and Handling Violations

Staff and volunteers who witness or become aware of a violation of the Code of Conduct are encouraged to report the matter to their supervisor, manager, or designated safeguarding officer. Gym Club Solutions will handle all reports confidentially and promptly, in accordance with its internal reporting procedures and any applicable laws or regulations.

  1. Review and Updates

This Code of Conduct will be reviewed periodically to ensure its continued relevance and effectiveness. Staff and volunteers will be informed of any updates or changes to the Code of Conduct and are responsible for familiarising themselves with the current version.

By adhering to this Code of Conduct, staff and volunteers at Gym Club Solutions demonstrate their commitment to creating a positive environment that promotes safety, inclusivity, and excellence in all aspects of our organisation.

  1. Communication and Promotion of the Code of Conduct

To ensure that all staff, volunteers, and stakeholders are aware of the Gym Club Solutions Code of Conduct for Staff and Volunteers, the organisation will:

  1.  Provide a copy of the Code of Conduct to all new staff and volunteers during their orientation and onboarding process.
  2.  Display the Code of Conduct prominently in the organisation’s facilities and on its website.
  3.  Include the Code of Conduct in relevant organisation communications, such as newsletters, meeting agendas, and training materials.
  4.  Regularly discuss and reinforce the importance of the Code of Conduct during staff and volunteer meetings, workshops, and training sessions.
  1. Support for Staff and Volunteers

Gym Club Solutions recognizes the importance of providing ongoing support for staff and volunteers in upholding the Code of Conduct. To this end, the organisation will:

  1.  Ensure that all staff and volunteers have access to relevant resources, such as policies, procedures, and guidelines, that support their understanding and implementation of the Code of Conduct.
  2.  Provide opportunities for staff and volunteers to participate in professional development activities related to ethical conduct, communication, and conflict resolution.
  3.  Encourage an open and supportive culture in which staff and volunteers feel comfortable discussing concerns, challenges, and successes related to the Code of Conduct.

15.  Spotting and Supporting #

Spotting and supporting are recognised coaching techniques used in gymnastics to assist learning and to reduce the risk of injury. Coaches must ensure that any physical contact with a gymnast is appropriate, necessary, and directly related to the coaching of a skill.

Coaches must only provide spotting or physical support when it is required to:

  • Ensure the safety of the gymnast
  • Assist with the correct execution of a skill
  • Help the gymnast develop confidence while learning new movements

All spotting and supporting must be carried out professionally and with care. Coaches should use recognised and safe spotting techniques and position themselves appropriately to minimise risk to both the gymnast and themselves.

Physical contact must always be:

  • Appropriate to the situation
  • Respectful and professional
  • Limited to what is necessary for coaching or safety

Coaches must avoid unnecessary or prolonged physical contact and must never touch gymnasts in areas that could be considered inappropriate. If accidental contact occurs, the coach should acknowledge it immediately and ensure transparency with the gymnast and other supervising staff where appropriate.

All spotting and supporting must be carried out in line with the organisation’s safeguarding policies and the standards expected within gymnastics coaching.

16.  Monitoring and Evaluation #

Gym Club Solutions is committed to regularly monitoring and evaluating the effectiveness of the Code of Conduct in promoting a safe, inclusive, and supportive environment. The organisation will:

  1.  Collect and analyse data related to the implementation and enforcement of the Code of Conduct, such as incident reports, disciplinary actions, and feedback from staff, volunteers, and stakeholders.
  2.  Identify trends, patterns, and areas for improvement in the organisation’s approach to the Code of Conduct.
  3.  Incorporate the findings from the monitoring and evaluation process into future revisions and updates to the Code of Conduct.

By maintaining a strong focus on the implementation, communication, and continuous improvement of the Code of Conduct, Gym Club Solutions will be better equipped to address the diverse needs and expectations of its staff, volunteers, participants, and other stakeholders.
