Membership Freeze Policy #

At EA Gymnastics, we understand that families may occasionally need to pause their child’s gymnastics training — such as during holidays. To support this, we offer a Membership Freeze Option under the following terms:

1. Eligibility & Duration #

• Members are permitted to freeze their subscription for one full calendar month per calendar year.
  
   
• The freeze period must be for one complete month — individual weeks or split periods are not allowed.
  
   

2. Freeze Fee & Subscription Handling #

• A £15 holding fee will apply to secure your child’s place in their class during the freeze month.
  
   
• Once your freeze request is approved and confirmed, the £15 fee will be charged immediately to your card.
  
   
• No other subscription fees will be charged for the freeze month.
  
   
• Regular monthly payments will resume automatically the following month.
   

3. Request Procedure #

• To freeze your membership, you must send your request via email to info@eagymnastics.co.uk
  
   
• Requests must be submitted during the calendar month prior to the freeze month.
  
  
  • Example: To freeze for August, you must email us any time during July.
    
     
• Requests made too early (e.g. in June for August) or too late (e.g. during August for August) will not be accepted.
   

4. Refunds & Missed Requests #

• If a freeze is not requested correctly and on time, the full monthly subscription will remain due.
  
   
• No refunds or credits will be provided for missed attendance if a valid freeze was not arranged in advance.
  
   
• Retrospective freeze requests will not be accepted under any circumstances

5. Leaving Instead of Freezing – Important Information #

• If a parent chooses not to pay the £15 freeze fee and instead cancels their child’s place with the intention of rejoining later, please note the following:
  
  
  • A £20 admin fee will be charged for any member who leaves and re-joins more than once within a 12-month period.
    
     
  • A space is not guaranteed upon rejoining — your child’s class may be full and you may be placed on a waiting list.
     

6. Terms of Use #

• This policy allows one freeze per member, per calendar year.
  
   
• The club reserves the right to review or update this policy at any time with appropriate notice.
