How to Mark Shop Orders as Ready for Collection, Collected, and Refund Them #

1. Open the Shop Orders page 0:00

  • From the dashboard, go to the Shop tab.
  • Click Orders to view all member shop orders.
  • You’ll see orders grouped by status, such as Pending, Ready for Collection, and Collected.

2. Review a pending order 0:14

  • In the Pending tab, locate the order you want to process.
  • Check the order details, including:
    • Items ordered
    • Order date
    • Total amount
    • Current status
  • If the order is not yet ready, leave it as pending until it can be collected.

3. Mark the order as Ready for Collection 0:23

  • When the order is ready, click Mark Ready.
  • This changes the order status to Ready for Collection.
  • An email is automatically sent to the member to let them know their shop item is ready.

4. View orders that are ready for collection 0:44

  • Open the Ready for Collection tab to see all orders waiting to be picked up.
  • Confirm which members have items available for collection.
  • Use this tab to track orders that have been prepared but not yet collected.

5. Mark the order as Collected 0:57

  • Once the member picks up their order, click Mark Collected.
  • This updates the order to Collected.
  • A confirmation email is sent to the member to confirm their items have been collected.

6. Check the Collected tab 1:14

  • Go to the Collected tab to see all completed orders.
  • This tab provides a record of items that have already been picked up.
  • Use it to confirm that all pending orders have been processed.

7. Issue a refund if needed 1:23

  • If a member needs a refund, open the order and select Refund Payment Method.
  • Choose whether to refund:
    • The full amount
    • A partial amount
  • Enter the refund amount and issue the refund.
  • The system will show how much has been refunded.

8. Refund partial or full order amounts 1:45

  • For a full refund, refund the entire payment amount.
  • For a partial refund, enter only the amount for the item being refunded.
  • Example: if the total order is £23, you can refund just £5 for one item like a t-shirt.
  • The refunded amount will be recorded against the order.
